Introduction

Valynx LLC ("we," "our," or "us") operates in-house SaaS products (such as LearnOptima and ScopeShield) and delivers scoped engineering engagements for clients. This Privacy Policy explains how we collect, use, and protect your information across our website, products, and client work.

Each product or engagement may have additional terms in a Scope of Work (SOW) or product-specific policy. This document covers practices common to Valynx as a whole.

Information We Collect

Account Information

  • Email Address: Required for account creation and authentication
  • Display Name: Optional, for platform personalization
  • Password: Hashed and encrypted, never stored in plain text

Usage Data

  • Platform Activity: Features used, time spent, interaction patterns
  • Generated Content: AI outputs, saved projects, user-created data
  • Technical Data: IP address, browser type, device information

Payment Information

  • Billing Details: Processed securely through Stripe
  • Transaction History: For subscription management and invoicing
  • We never store full credit card numbers

How We Use Your Data

Client Engineering Engagements

If you hire Valynx for a scoped audit, build, pilot, or similar engagement, the following applies in addition to our Terms of Service and your SOW:

  • Mutual NDA: We will sign a mutual non-disclosure agreement before receiving your confidential materials when you request one (or when the SOW requires it).
  • Limited use: Client-provided files, credentials, and communications are used only to perform the agreed scope—not for marketing, resale, or training third-party models on your content.
  • Sandbox-first: Development uses sample or sandbox data unless the SOW explicitly requires access to production systems.
  • Deletion after delivery: After final delivery under the SOW, we delete client-provided files and working copies from our development environments, except where you ask us to retain materials for an active Care Plan retainer, or where we must keep minimal records for legal, tax, or dispute purposes.
  • AI subprocessors: If the SOW involves AI processing, we disclose providers in the SOW and minimize what is sent. You may request no third-party AI for sensitive materials when feasible.

AI Processing & Third-Party Services

Our platforms use AI APIs from:

  • OpenAI (GPT models): For content generation and analysis
  • Anthropic (Claude): For strategic processing and reasoning
  • Google (Gemini): For multimodal AI capabilities

Important: Data sent to AI providers is subject to their privacy policies. We minimize data sharing and never send unnecessary personal information.

Data Retention by AI Providers

  • OpenAI: 30 days (API data retention policy)
  • Anthropic: Not used for model training
  • Google: Subject to Google Cloud terms

When We Share Your Data
